Privacy Policy

How we collect, use and protect personal data, and the rights you have under the EU General Data Protection Regulation.

Last updated: 7 October 2026 · Working document — the details shown in brackets are still being completed and this text has not yet been reviewed by a lawyer.

1. Who We Are

vizingsmart is the trading name of [[Registered company name]], a company registered in [[Country of registration]] with registration number [[Company registration number]] and its registered address at [[Full registered address]]. We design, manufacture and export vending machines for business customers.

For the purposes of the General Data Protection Regulation (GDPR), [[Registered company name]] is the controller of the personal data described in this policy. Our contact point for data protection matters is privacy@vizingsmart.com.

We are established outside the European Union. Where the GDPR applies to us and Article 27 requires it, we must appoint a representative in the European Union and publish their details here: [[EU representative name and address, if appointed]].

2. What Data We Collect

We collect personal data in the following situations.

  • Enquiry and quotation forms — your name, company name, business email address, country, the machine type you are interested in, the quantity and any message you send us.
  • Email, telephone and video calls — your contact details and the content of our correspondence, including during video factory tours.
  • Technical data — IP address, browser type and version, device type, the pages you visit and the date and time of your visit, recorded in server logs.
  • Order and delivery data — where you place an order: invoicing details, delivery address, named contact person and correspondence about the order.

This website is intended for business users. We do not deliberately collect special categories of personal data, and we ask that you do not send us such data through the website.

4. Marketing

We do not sell your personal data, and we do not add enquirers to mailing lists without asking. If you ask us to keep you informed about new models or product updates, we will use your business contact details for that purpose only. You can withdraw at any time by replying to any message or by writing to privacy@vizingsmart.com.

5. Cookies

This website uses cookies and similar technologies. Cookies that are strictly necessary are set without consent because the website cannot operate without them. Analytics and any other non-essential cookies are set only after you accept them in the cookie banner. The full list is set out in our Cookie Policy.

6. Who We Share Your Data With

We share personal data only where it is necessary, and only with parties that process it on our instructions.

  • Hosting and infrastructure providers — this website and its database are hosted by [[Hosting provider name and location]].
  • IT and email service providers — for correspondence and document storage.
  • Logistics and freight partners — the consignee name, address and contact details are passed to the carrier only as needed to deliver an order.
  • Banks and payment providers — for processing payment and export documentation.
  • Professional advisers — accountants, auditors, insurers, customs brokers and lawyers, where required.
  • Authorities — where we are legally obliged to disclose information.

Every processor is engaged under a written agreement and may use the data only for the purposes we specify.

7. International Transfers

Our company, our engineers and our production plant are located in China, so personal data submitted through this website is transferred to and stored in China. Where the data relates to a person in the European Economic Area, we put appropriate safeguards in place for that transfer — for example the European Commission’s standard contractual clauses together with an assessment of the transfer — and you may ask us for a copy of those safeguards.

Confirm the transfer mechanism actually used (standard contractual clauses, an adequacy decision, or another lawful route) with your legal adviser before publishing this policy: [[transfer mechanism to be confirmed]].

8. How Long We Keep Your Data

  • Enquiries that do not become orders — [[retention period, e.g. 24 months]] from the last contact.
  • Customer contracts, invoices and shipping documents — for the duration of the contract and then for the statutory record-keeping period, currently [[statutory period]].
  • Warranty and service records — for the warranty period plus [[period for limitation of claims]].
  • Server logs — [[retention period, e.g. 30 days]].

Where we keep data only to comply with a legal obligation, we restrict it to that purpose and do not use it for anything else.

9. Your Rights

If you are in the European Economic Area, you have the following rights in relation to your personal data.

  • Access — to be told whether we hold data about you and to receive a copy.
  • Rectification — to have inaccurate or incomplete data corrected.
  • Erasure — to have your data deleted where we no longer need it.
  • Restriction — to have processing limited while a question about the data is resolved.
  • Objection — to object to processing based on our legitimate interests.
  • Portability — to receive data you gave us in a structured, machine-readable format.
  • Withdrawal of consent — to withdraw consent at any time, without affecting processing carried out before the withdrawal.

To exercise any of these rights, write to privacy@vizingsmart.com. We answer within one month. If you believe we have handled your data incorrectly, you have the right to complain to the supervisory authority in the country where you live, work, or where the alleged infringement took place.

10. Security

We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS) between your browser and this website, access controls on our systems, and restricted internal access to enquiry and order records. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

11. Children

This website is intended for business users and is not directed at children. We do not knowingly collect personal data from children.

12. Changes To This Policy

We may update this policy from time to time. The version published on this page is the current one, and the date shown above records when it was last changed.

13. Contact

Questions about this policy, or about the personal data we hold, can be sent to privacy@vizingsmart.com or by post to [[Full registered address]].
